Many small businesses start out with a free email account from one of the many providers such as Gmail or Yahoo etc. These accounts are easy to set up and can be accessed anywhere you can get an internet connection.

Free email mailboxes
While these are fine to start with, once your business is established, your clients and more importantly your potential clients will view a generic email account as less than professional. It does nothing to promote your business either.

Ideally, as soon as you can your email address should mirror your business name, for example john.smith@xyz.co.uk, info@xyz.com.uk

You have a number of options available:

Email forwarding
First, if you have not already done this, you need to register your business name with a reputable domain name hosting company. Preferably, select one that lets you manage your domain name easily and won’t charge you if you want to transfer the domain name out at any point in the future. This domain name can also be used as your website address. We would recommend you talk to us before you register the name as we can give you advice about your options.

Once registered, you can access your control panel and set it up to forward any emails that come in to the address to your generic (eg.Gmail) email account. You can set up as many email addresses as you will need for your business. However, you may not be able to send from this address unless you have an email mailbox.

Company email mailbox
We can set you up with an email mailbox from £5.00 per month. Your email mailbox works in exactly the same way as your generic email mailbox. You access it via the web and you can send, receive and manage your emails in exactly the same way. You can have up to 10 separate mailboxes and unlimited mail aliases.

An alias is an alternative address for the same mailbox, eg david@xyz.com or dave@xyz.com, but both go to the same mailbox.

Using Outlook or another email client
If you prefer to manage your emails through an email client such as Outlook on your computer, you will have to set up your account to receive and send emails from your email mailbox. If you are not sure how to do this, one of our technical team can help. Included in the monthly fee is any management you may require to keep your emails flowing smoothly.

There is another email mailbox option for clients who need additional functionality such as synchronising emails, contacts and calendars with your mobile phone or other devices. This product uses Microsoft Exchange.
